1. Introduction
This Privacy Policy explains what data HireScore (the "Service", "we") collects, how we use, store, and protect it, and what rights you have regarding that data.
2. Information We Collect
Account information: email address, role within your organization, interface language, email verification status.
Organization information: company name, country, city, website, industry, company size — as entered in the "Company" section.
Data you upload: vacancy descriptions and candidate resume files (PDF/DOCX), including text extracted from them.
Technical data: API request logs, IP address, browser type — for security and troubleshooting purposes.
Payment data is processed directly by a third-party payment provider — we do not store full card details on our own servers.
3. How We Use Information
To provide the Service's core functionality: analyzing resumes, matching them against vacancies, and generating rankings and reports.
To operate your account: authentication, email verification, and managing roles within your organization.
For billing purposes: tracking plan usage limits and processing subscriptions.
To maintain platform security: detecting anomalies and preventing abuse.
For customer support: handling requests submitted through the built-in chat and "Contact Support" form.
4. AI Processing of Your Data
To analyze resumes and vacancy descriptions, the Service sends the text of these documents to a third-party generative AI provider to the extent needed to perform the analysis. This transfer happens in real time for each analysis request and is not used by the AI provider to train publicly available models beyond the terms agreed between HireScore and that provider.
The built-in support assistant and feedback form also use AI to generate responses to questions about the app's interface; messages you send to the assistant are processed in the same way.
5. Who Within HireScore Can See Your Data
Your organization's data is isolated by default and is not accessible to other Service clients.
A limited set of HireScore support staff (specifically flagged accounts) may have read access to any organization's vacancies and resumes — solely to investigate technical incidents and suspicious analysis results flagged by the system's automated quality-monitoring heuristics. This access does not extend to modifying or deleting another organization's data.
6. Data Sharing With Third Parties
We do not sell your data. We share data with third parties only to the extent necessary to operate the Service: an AI technology provider (text analysis), a payment provider (subscription processing), and an email service (notifications and email verification).
We may disclose data if required by law, a court order, or to protect the rights, property, or safety of HireScore, our users, or the public.
7. Data Retention and Deletion
We retain data while your account is active and as needed to provide the Service, comply with legal obligations, and resolve disputes.
You can delete an individual candidate's resume, or all resumes for a vacancy, yourself through the app interface ("Delete" buttons on the vacancy page) — this removes the file itself, the extracted text, and related analysis records.
If a resume was previously flagged by the automated monitoring system as a suspicious analysis result, deleting the resume also clears the resume text from the associated monitoring record, though flag metadata (with no candidate personal data) may be retained for internal analysis-quality statistics.
You may request full deletion of your organization's data or a specific candidate's data by contacting us through the "Contact Support" form in the app or the email below.
8. Your Organization's Responsibility for Candidate Data
With respect to candidate resumes you upload to the Service, your organization determines the purposes and legal basis for processing them, and HireScore acts as a technical processor on your behalf. If applicable law requires obtaining candidate consent to processing or informing candidates that automated analysis is used in evaluating them, ensuring such compliance is your organization's responsibility.
9. Security
We apply technical safeguards including encrypted connections (HTTPS), hashed password storage, role-based access control within your organization, and data isolation between organizations.
Despite these measures, no system can be guaranteed fully secure — we recommend not sharing your credentials with others and using a strong password.
10. Cookies and Browser Local Storage
The Service uses an authorization token stored in your browser's local storage to maintain your login session. We do not use third-party advertising cookies and do not track you across other websites.
11. International Data Transfers
Because our technology providers (including our AI provider and payment processor) may process data on servers outside your country, using the Service may involve cross-border data transfers. We rely on the contractual and technical safeguards provided by such vendors to ensure an adequate level of protection for transferred data.
12. Children's Data
The Service is intended for use by companies and recruiting professionals and is not intended for individuals under 18. We do not knowingly collect data from minors directly as Service users.
13. Your Rights
You may request access to, correction of, export of, or deletion of the data we hold about you or your organization by contacting us using the details below. We respond to such requests within a reasonable timeframe.
14. Data Breach Notification
In the event of a security incident affecting your personal data, we will notify you and, where required, relevant regulatory authorities within the timeframes required by applicable law.
15. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the app interface. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
